  • If and when you decide to leave our service (usually because you do so well you outgrow us and have to buy a huge phone system for all of your employees) we will even make your assigned toll free number available to you for a nominal fee.  Just check with a helpful representative for instructions on how to properly transfer ownership of your assigned WorkEasy number to you.

While we do NOT own a database of vanity numbers that spell something (like our own 1-800-WORK-EASY), we will be glad to attempt to secure one for you if it is available for a nominal fee. We would view the number as yours at that point and release it to you at no charge if and when you leave the service.

As the popularity and demand for toll free numbers has increased the availability of true 800 numbers has decreased and thus new exchanges (such as 888, 877 and most recently 866) have been made available. The result is that original 800 numbers have become scare and nearly as precious as vanity numbers.  While the general public has come to recognize that the new numbers (888, 877 and 866) are also toll free numbers, an "800" number has an almost nostalgic appeal and make a company with one appear older and more established.  Because of this, WorkEasy offers true "800" numbers, when available, for a slightly higher fee.

Please keep in mind that any toll free number makes the same important statement to your customers - that you're a professional, customer service minded company (and that you obviously want their business more than the other guy who doesn't offer them a toll free number).

  Hours of Operation
   

Get a life! That's easier said than done when you run a small business.

WorkEasy can help by allowing you to define the times-of-day and days-of-week that you want business calls to be able to ring through to you. Calls that come in to you while you're "open" will try you at your current ring-to-destinations first. Calls that come in "after hours" are sent straight to your voice mailbox so your caller can leave you a message (you can even record an after-hours mailbox greeting to let callers know what your hours of operation are).

Each Department can have its own hours of operation. Also check out the Do Not Disturb feature for temporary privacy even when you are open.

  Separate During-hours and After-hours Mailbox Greetings
   

WorkEasy was the first company to allow you to handle calls differently based upon your hours of operation.   After hours calls can go straight to voice mail and hear a different after-hours mailbox greeting from your normal during hours mailbox greeting.   For example, you may wan to say something like this.

"You have reached ABC's Sales Department. I'm sorry but you have called outside our normal business hours of 9 to 5, Monday through Friday, Eastern Standard Time. Your call is very important to us.   Please leave a message and a helpful Sales representative will return your call as soon as we reopen."

  Music on Hold
   

WorkEasy keeps your callers entertained while we try to find you! When a caller selects to speak with someone in your organization WorkEasy says, "One moment please" and then plays a professional music on hold program for your caller while we attempt to reach you at your current ring-to destination. Your caller continues to listen to Music On Hold while you answer and screen your call. If the caller is kept holding for any reason (while we try your secondary destination or you press option 3 while screening the call to have them continue to hold), WorkEasy will play up to two messages thanking your caller for their continued patience in holding. WorkEasy randomly selects from nine instrumental pieces so callers won't always hear the same music each time they call you.

If you're available you can choose to take the call...if your line is busy, rings no answer or a device answers (such as an answering machine, fax or modem), WorkEasy will automatically send them caller to your voice mailbox so they can leave you a message. If there are times you don't want to be bothered, just call your Admin. Menu and enable the do not disturb feature.

Have your calls follow you wherever you go (or redirect them to someone else for awhile) by simply dialing into your toll free number and changing your ring-to-destination to whatever number you want in the U.S. (cellular phones included). Changes in your destination remain completely transparent to callers so they'll never know whether your sitting at your desk or by the pool!

  Call Transfer
   

Need to transfer a caller to another person in your organization. No problem! With WorkEasy there are no codes to remember, flash hooking or embarressing moments.

Just tell your caller that you'll trnasfer them back to the auto-attendant (voice menu) and instruct them to then dial the desired parties three digit Extension number. When you hang up they will automatically be returned to your voice menu and then be able to dial the desired parties Extension number. That way the call will go to the person current ring to destination, option second number and their voice mail box if necessary. You don't have to worry about dropping them in the transfer, or all the other embarrassing and non-caller friendly things that happen when the rest of us try to transfer a call.

  Automatic call return
   

Need to transfer a caller to another person in your organization. No problem! With WorkEasy there are no codes to remember, flash hooking or embarrassing moments. WorkEasy's automated Order Entry Mailbox was designed to step callers through a series of questions and record each response. You may have up to 23 questions along with an opening and closing message. After the opening message, WorkEasy will wait up to 60 seconds for the caller to gather the information required to complete the order (i.e. credit card number, product code, etc.). Once the caller acknowledges that they are ready, WorkEasy steps them through your series of questions and records their response. They may listen to, confirm or re-record each response. The complete process has been designed and tested for maximum user friendliness.

Transcribing orders is as simple as logging into your account and reviewing the responses. First WorkEasy will tell you the number of orders you have. Then, at the beginning of each order, WorkEasy will tell you the number of completed questions for that order so that you can determine if it's a complete order or not. There are two modes for transcribing. Normal mode repeats the response to each question until you tell WorkEasy to go onto the next response. Automatic mode plays each response once, pauses, and automatically continues on to the next response (yes, you can control the duration of the pause).

  Standard Mailboxes
   

Have some calls go straight to voicemail - always. Sometimes you need just a mailbox for an employee or department or to use as a means of capturing simple information from a caller.  WorkEasy mailboxes are the best! Standard Mailboxes can be selected as an option off of your voice menu or by dialing them directly by entering their three or four digit "extension number" while listening to your greeting and/or voice menu. Both outgoing and incoming messages may be up to 10 minutes in length and callers may listen to, delete and rerecord their message to you.

Mailbox messages include a message envelope identifying the city and state and full ten digit phone number the call was from as well as the time and date the message was left (no more missing the number if it wasn't spoken clearly!). Messages may also be automatically forwarded or manually copied to any other mailbox on the system with or with a comment for the other person's review.

  Dial-by-name
   

Allow callers to select who they want to speak with without having to first know their Extension number.  When the Dial-by-name option is selected, WorkEasy asks your caller to enter the first three letters of the desired individual's first name.  WorkEasy then speaks the matching name and tells the caller the corresponding Extension number. The caller may then dial the Extension number to be connected  to your employee.  By announcing the Extension number in this way, your caller's are "trained" to learn or note the Extension number for future reference.  If there is more than one person with the same first name, the system will announce all matches so the caller can choose the correct individual.

  On-line Reports
   

The Extension Report is a very useful report which identifies each call made to an extension (person in your organization) and what type of call it was. In addition to identifying the date and time of each call, the caller's complete ten digit phone number, the city and state they called from, the total duration of the call and the call's total cost, WorkEasy also identifies if the caller logged in, sent a FaxMail or placed a call out through the system.

The Call Detail report provides a complete detail of every call made to your WorkEasy number. Information includes the date and time of each call, the caller's complete ten digit phone number, the city and state they called from, the total duration of the call and the call's total cost.

The Fax on demand report is an invaluable marketing tool which allows you to identify not only how many people requested your fax on demand document and when but what their phone number is and what fax number they had your document delivered tool. You can build a database of these fax numbers and have a qualified list you can continue to market to in the future.

  No Term Contract
   

There's no Term Contract or Minimum Usage required.

  Changes On-the-fly
   

You know what they say, "In life, only two things are certain, death and taxes". Despite how well you plan your phone system setup, chances are something's going to have to be modified. It may be as simple as changing the email address WorkEasy sends your messages to or adding an Extension for new person or perhaps even redesigning your voice menu prompts. Whatever it is, it's not a big deal.

You can change several things on your own, such as your ring-to destination (the phone number WorkEasy sends calls through to), and Do Not Disturb feature etc. Other changes you can simple email or call us about and we can almost always do them on the fly with you on the phone or the same day and respond back to you via email. And their is never a charge to change something in your account unless it has an actual cost associated with it such as adding a new Extension.

  Auto-Fund
   

When you first sign up for service you pay the appropriate setups fee(s), your prorated first months recurring (for the remainder of that month) and some extra amount that's up to you (such as $30, $50 or $100) to cover your upcoming telephone usage.  At the end of every phone call the system calculates the cost of the call and deducts it from your available funds.  When your funds run low then the system will automatically charge your credit card on file whatever amount you pre authorized (such as another $30, $50 or $100) to replenish your funds. You will also receive an email letting you know each time your card has been charged for AutoFund, in addition to your monthly statement, so you can monitor your expenses through the month.  Going forward, your monthly recurring fee is also automatically charged to your credit card on file on the first of each new month.

We do not offer minute packages because we feel they are a lose/lose for customers. Customers end up either under buying and running out of minutes and then paying a premium for additional minutes used or overbuying and paying for minutes they never used. We know, we offered minute packages in the past. We feel paying only for the minutes you use is only right. So, whatever prepaid funds are available on your account roll over month to month.  And, it's your money, so if and when you leave the service we immediately refund any available prepaid funds back to your card on file.

FYI - If you run out of funds your account is automatically suspended and WorkEasy will play a "friendly" message notifying callers that the number is being "checked for trouble" and to please try their call again later. If you hear this message when calling your number you need to contact customer service to make alternate payment arrangements to replenish your funds (i.e. use a different credit card).

  Live Customer Support
   

WorkEasy strives to provide the very best in well trained, fast and friendly Customer Support and Sales assistance. Our normal hours of operation are 8:00am PST to 4:30pm PST Monday through Friday (please note our hours change twice a year in the summer and winter).   Customer Support is closed weekends and major holidays but our technical support staff is available 24/7 for system emergencies or outages.
